Microsoft 365 Sharepoint Policy
Purpose
Microsoft 365’s SharePoint is an essential tool for collaboration and efficient communication within an organization. Whether you’re working on a project, sharing documents with a client, or collaborating with remote team members.
Enhancing the security and control over SharePoint file sharing can reduce the risk of unauthorized access and ensure that only the intended recipients can access shared contact.
Why Make the Change?
- Risk Mitigation: The current default setting allows anyone who possesses an “Anyone link” to access the shared content with no limit on the length of time it is available. This poses a security risk, especially when sensitive information is involved.
- Accidental Exposure: Employees may inadvertently share confidential files with unintended recipients due to the default setting. Changing it to “Specific people” minimizes accidental exposure.
- Compliance Requirements: Many industries have strict compliance regulations (such as GDPR or HIPAA) that mandate controlled access to sensitive data. Adhering to these requirements is crucial.
Process
To implement this change, we propose the following:
- Review Current External Sharing Options
- Update External Sharing Options
a) Change SharePoint sharing defaults from “Anyone with a link” to “Specific people”, while still allowing for the “Anyone with a link” option to be used, if required.
b) Remove ability for guests to share items they don’t own.
c) Set the number of days a guest can access a site or OneDrive to 30 days.
d) Set the number of days a guest must reauthenticate with a verification code to 15. days.

As we move into September, and heading into longer, warmer days, it’s important to stay alert against the increasing number of scammers.
Protecting your data and personal information is more crucial than ever. It is essential these days to have two-factor authentication enabled for your email and any other web-based portals you may use that supports it.
An example would be Xero, your bank login, etc. Also, multifactor authentication set up the old way by using a text to your phone is not very secure. It is better than nothing, but we recommend using an app-based authenticator on your mobile phone or a password manager.
Speaking of password managers, it is so easy to have the same password for multiple sites, and I am sure we all do this. As you might guess, this is not secure. All it takes is for credentials to be leaked to the dark web by one website, and all your accounts become vulnerable.
A good way to move around this is by using a password manager application that automatically signs you in with very complex passwords. You can use the same app for all your devices.
On a brighter note, we’ve been leveraging AI tools like Microsoft Copilot to enhance our daily operations. AI can significantly boost productivity and creativity, and the ROI makes it worthwhile. Staff will love you if your business is utilizing AI.
